Our Client

Surrogacy UK was formed in 2002, by a group of experienced surrogates who believed that a successful journey for both surrogates and intended parent(s) was one based on trust, mutual respect and, above all, friendship.

The Challenge:
Surrogacy UK team had gradually grown since 2002 with users all operating from personally owned BYOD devices using Google Workspace and various independent cyber security solutions.

The business had reached the point where a more coherent approach and standardised solution was needed to enable the future. Quotes had already been received for a migration from Google Workspace to Microsoft 365 and initially Greenlight Computers proposal was for comparative purposes based on a board member recommendation.

Greenlight Computers Solution

Greenlight Computers advised Surrogacy UK to moved forward with a four-part strategy:

• Firstly, a client on-boarding process to record knowledge of each user’s personal setup and the data structures deployed in Google Workspace.
• Secondly, the deployment of company owned computers to the core staff users with pre-built standard cyber security configurations.
• Thirdly, a full migration of Google Workspace accounts and data across to Microsoft 365, using Business Premium accounts for core staff and Business Basic plus Defender for the Associate users.
• Finally, an ongoing IT Support contract to provide all the IT help and advice needed by the team and perform all of the preventative maintenance ongoing.

Although all of these elements were concluded successfully on time and budget, this case study focusses on stage 3 – the migration from Google Workspace to Microsoft 365. This is a migration process that Greenlight Computers has delivered for numerous clients over the past few years, and we have an established “centre of excellence” for.

Greenlight Computers works with the client through a 9-stage plan, with continuous communication and open help desk for all users. The plan is designed to migrate data in the background with the only user disruption being a few minutes to check everything has transferred and then an opportunity for advice on Microsoft 365.
